Ballwin Tree Service · Front desk

Every call, text, estimate, quote, job, and bill in one place.

Incoming leads come through a call, a text, or a web form. The front desk is where they land first, and Fieldpost is where you handle them. You’ll spend most of your day in it.

6
stages, one system
Welcome to the front desk

Get them in the door. Fieldpost takes it from there.

Your job is to screen new leads and convert qualified ones into Requests. Once it becomes a Request, the sales team takes it from there. These are the stages a customer moves through:

Lead→Request→Quote→Accepted Job→Completed→Paid
  • Tree Removal
  • Tree Trimming
  • Stump Grinding

Who’s who: Matt (Owner) · Alice (Office Manager) · Graham (Sales Manager) · Michael (Project Manager) · Owen (Fieldpost Developer)

The screens you use

Eight screens, in the order you’ll use them most

01

Home

Start here every morning. Pending Requests, open quotes, active jobs, money to collect, and today’s jobs.

02

Inbox

Where the texts live. Keep Needs Response empty. Photos customers text show right in the thread.

03

Leads

People who filled out the form on our website. Call first. A real voice wins the job more often than a text.

04

Requests

The estimate visits, the thing you make most. Customer, service address, description, and type.

05

Customers

Everyone we’ve ever worked with or quoted. Search by phone first; two records for one person makes a mess later.

06

Quotes

The price, sent to the customer by text. Opened means they looked. An honest no is better than a maybe that never ends.

07

Pipeline

The whole board at once, from Leads to Paid. The fastest way to answer “what’s going on with the Johnsons?”

08

Completed

Finished work, and the bills that go with it. Send SMS texts the bill; Ask how we did texts a star rating.

~22texts sent by the front desk each weekday
~9Requests booked each weekday
96%of calls to the main line get answered
12Requests on a typical Monday, the busiest day

Source: Front Desk Handbook, section 3 (Ballwin Tree Service front desk, last two months). About 86 of every 100 Requests start with a phone call or a text; about 14 come from the website form.

Rules that keep us safe

Four things we always do.

If you remember one page of this book, make it this one.

Good to know

The app never sends a text on its own. If a customer got a message from us, a person pressed send.

01

Always search before you make a customer. Phone number first.

02

Always check the city on an address. Ballwin, Manchester, and Wildwood share street names.

03

Always send a new storm or emergency straight to Graham. Then write it up.

04

Always end the day with Needs Response empty. Reply, or tap Done if it truly needs no answer.

How it works

The four things you do most

These four recipes cover almost every day. Each one is a short list of taps.

A

A new web lead comes in

  1. Open Leads. New ones are under “New — needs first touch.”
  2. Open the card, tap Call.
  3. No answer? Text follow-up, then Push back 1 day.
  4. When they reply, ask what and where. Tap Create Request.
  5. Pick appointment or drive-by; assign to the estimator.
B

Someone calls or texts for an estimate

  1. Get name, phone, and address, plus the locations and services for the trees.
  2. Search Customers by phone. Not there? New Customer.
  3. From the customer, tap New Request.
  4. Assign it to the estimator.
C

A customer says yes to a quote

  1. Open the quote.
  2. Under Update status, tap Manually Accept.

A Job is made the moment a quote is accepted.

D

Keeping the Inbox clean

  1. Work Needs Response from the top.
  2. No reply needed? Tap Done.
  3. Junk gets Spam. Don’t reply to wrong numbers or robocalls.
  4. Goal: Needs Response is empty by end of day.
